AWA MEETING MINUTES JANUARY 2012

Welcome Members/Visitors:

ATI Changes Sexist Training Materials-

Sarah read a letter that she wrote in November of 2011 to the Automotive Training Institute in regards to some training materials that were presented at a class she took in the spring of 2010. She verbally complained at that time that the materials were sexist but was assured that they were in the process of being changed, only to find that in the fall of 2011 (over a year later) the materials had still not been changed. Although ATI has failed, as of yet, to respond directly to Sarah, they did announce in internal emails that they had officially changed the offending materials to be inclusive of both women and men.

By Laws

As a group we went through the bylaws draft, article by article and made corrections as the group deemed necessary. The By-laws will be re-drafted and resubmitted by Sarah for final consideration in the February meeting.

Officers Elected

It was decided this year, we would elect and vote for officers to serve a short, one year term (the new bylaws, once in place, allow for a two year term) as an intermediate step to our more formal structure. This was accomplished through informal motions from the small group and a oral count. It was agreed that the officers for the year shall be:

President: Margaret Regan

Vice President: Carra Molgard (not present, but agreed via text to accept the position)

Treasurer: Terica Devoreh-Spratt
Secretary: Sarah Heidler

Each person will write a job description to bring to the larger group for next meeting.

WIT Fair:

Tonia Haney of Clark College has graciously accepted the responsibility of heading up our presentation at the 2012 Women in Trades Fair.
She will need volunteers to help. If you've never volunteered for this event, it's a great way to get out and meet young women interested in the industry as well as networking with other trades professionals.

* NATA newsletter-

Margaret wrote an article for the NATA news letter regarding the Oktoberfest event, and brought copies for suggestions. Minor alterations were made to improve the piece and Margaret will submit to NATA along with a couple of photos for publication.

* Financial Report (Margaret Regan)

There is $857.76 in the checking account.

$619 was made from the Oktoberfest event ticket sales and door prize sales.

$4257 was made from the sale of raffle tickets for the Snap On toolbox.

All monies except for what is in the checking account have been delivered to PCC, but there was $2497 that was still unassigned. It was decided by consensus that that money should go to the endowment fund.

The restricted fund currently has over $7000.

Scholarships

There have been no scholarships awarded this year. It is up to the program chair to award and nobody was sure exactly why no scholarships have been awarded.
Margaret and Betty will talk to Russ regarding this issue and report back to the group.

Second annual Oktoberfest AAR (After Action Review)

The sausage was better than last year (came from Edelweiss this year). There were 40 lbs purchased.

There were too many beans – 2- 32 oz cans are too much.

Too much Kraut left over – two 32 oz cans and one jar is too much. We should do just jars next year.

We need a go-to person for the event (somebody there to tell everybody what to do)

It would be nice to have a hostess or greater to help people coming in and make everybody feel welcome, even if they don’t know anybody.

We should have a line card or brochure about who we are and what we do. (more information available about us)

We should make it ½ price for students.

We should reach out to past scholarship recipients.

We need a big ticket item for next year’s event (Carra volunteered to start on that now)

Marketing should be more structured

* Organizational discussion: Some of the issues brought up in the post action review led us to talk about needing more structure to our organization.

Margaret and Sarah both agreed that they had not been doing as much as they had in the past due to burn-out.

Sarah also brought up the issue of the organization’s narrowing focus. So much time on the scholarship fund at PCC, we fail to fulfill the other aspects of our mission statement, and fail to reach other potential members that might not be interested in that narrow focus. She asked everybody to consider the organization’s mission statement, and how we might, as a group, re-focus to fulfill broader needs.

The group agreed that we should come up with a formal structure. This will promote involvement and ease the burden on some of us if everybody knows what they need to do.

AWA should seriously consider forming an official non-profit.

Sarah will do the research and create bylaws with the help of all active members via email (she will not be at the next meeting). She will also research what needs to happen to become a non-profit.

* COMING UP:

The next “meeting” will be our Holiday Party Potluck to be held at Margareta’s house on Dec 4^th at 2pm. 19605 S Unger Rd Beavercreek, OR 97004

The Jan 25^th, and will be our “restructuring meeting” where we will emerge with a new, formal structure, and maybe non profit status.

Oktoberfest

Held October 1, 2011 the second AWA Oktoberfest was a Grand success!

Special thanks to Felix LaPlante and his family and crew at Sherwood Auto Repair for not only providing the space to hold the event but food, wine, as well as manning the grill, prepping the space and overall hard work.

BridgePort Brewing once again graciously donated a pony keg that this year we managed to polish off.

Saw Tail Ridge donated their time and provided the music and fun for our event.

LKQ provided chairs and transportation for the tool box, bottled water as well as numerous door prizes.

With all efforts and the generous donation of the Snap On tool box from Kurt Garbe of Esquire Motors we made over $4000 for the scholarship fund.

Thanks again to everybody for making this a wonderful and fun event.

She purchased the ticket at the British Meet and is a hobbyist working on restoring a TR3 ! !

Started the night with talks about the raffle and how it is progressing. June suggested that we make the Tool box mobile and bring it to the race track as needed to get more exposure.
Becky and Margo volunteered to transport and sit at a booth to sell tickets. All agreed that might boost sales. June is collaborating with the Beaches Cruise-in and PIR folks. Straps and blankets will be provided to limit damage to item.

At this point 548 tickets have been distributed and no accurate count for sold tickets available at the time of meeting.

It was agreed at the meeting (of 5 people) that there will be an August meeting. As there has not been much planning in the way of the Oktoberfest. Generally August is an off month. It was discussed that the group still needs to coordinate for Food, Band, Beer, Tickets, Utensils, raffle prizes and many other logistics behind the scenes.
The event, at least, has a locked in location...Sherwood Auto.

This one is coming up faster and there is still much to do.
That will also be the event where the tool box is presented to one lucky winner!!!!

And lastly...the scholarship was brought up, by Carra. She was at a Ford Club meeting a week ago and met the Assets Facilitator for Mt Hood CC, Jerry Lyons. He is involved with a Cruse-in 13 August in Gresham, OR. She discussed with him her involvement in AWA and said we have discussed in meetings expanding our scholarship funds to other schools. Right now we gift to PCC. She was always under the impression that the money was gifted to a FEMALE student. To promote more women in the auto tech industry. This provoked questions of eligibility and merit. There will be presumably be some guidelines drawn up for future scholarships.

Next meeting will be last Wednesday in August, The 31st? we should send out calendar reminders to all group members.

* EVENT PLANNING:

SNAP ON TOOL BOX Raffle.

Ø Tonia suggested that we up the cap on the number of tickets (once she saw the box) It was discussed and decided that the number of tickets should be limited to 2,000

Ø Margaret submitted a web site for an on line design and printing, and Tonia provided pricing and details from a local printer. We decided to do the on line purchase of printing, due to price.

Ø Sarah will layout the design, submit for preview for several members and have tickets ready to go by March 19^th, our next event: the Irish Potluck at the Garbe residence.

Ø Shayla (not present at meeting) designed a flyer for the raffle. It was passed around and discussed, and a few updates were added.

Ø We will have updated flyer ready to go inside of a week, and email them to members who would like a copy, as well as having some printed for distribution.

Ø Carra donated free transportation of the box for the winner.

Ø Sarah volunteered to track, record and account for all tickets and stubs.

Ø Betty volunteered to be the keeper and protector of all ticket stubs.

Ocktoberfest event planning

Ø We will ask Sawtale Ridge to play again

Ø John suggested (Via Betty) that perhaps better sound this year would improve the event, as well as more focused attention at times on the band.

Women in Trades Fair

Ø Event is Friday May 13t and Saturday May 14th, 2011 at the IBEW Hall

Ø More volunteers are needed – especially for the Saturday portion of events.

Ø Drop an email to AWAPDX@gmail.com to sign up or ask specifics.

Ø We are looking for a donation of 100 tire pressure gauges to give to young women at this event.

Irish Potluck

-Tonia and Margaret volunteered to investigate printing costs of the tickets.

Women in Trades Fair

Irish Potluck

Dues for January through December are $35 for regular members and $20 for students or anyone currently unemployed.
Please make sure to include your: Name, employer, position, both home and business addresses and phone numbers. Include the name of the school you are enrolled in if you’re a student.

Treasure’s report

We sent $175 to PCC restricted fund and a $1000 check.
We have given 1800 for the 11-12 school year
Our current checkbook balance is 307.15

• Fundraising projects

- April 30th and May 1st Women in Trades Fair, Friday was an exciting day of scavenger hunts on cars and a wonderful power point presentation by Sarah. There were about 75 girls who participated and all seemed to have a great time! Thanks Sarah for organizing and thanks to the volunteers Becky, June and Betty!
Saturday there was a steady stream of people. Dawn made an automotive wheel to spin- using most all automotive parts! Once the wheel was spun, a trivia question was asked and great automotive conversation followed. People really enjoyed spinning the wheel and playing automotive trivia! Thanks Dawn for making the wheel and thanks to Betty and Terica for volunteering!

- May 8th, Plant and Rummage sale a huge success! The weather was beautiful and brought out lots of people to shop! The grand total was $782.01 – our most successful sale yet! Thanks to everyone who brought rummage and plants and volunteered their Saturday to raise money. Thanks also to Hawthorne Auto Clinic for the use of the parking lot!

- August 15th – Hawthorne Street Fair and Sunday parkways will bring a huge crowd on Hawthorne, it was decided to hold a craft and rummage sale in the parking lot of Hawthorne Auto Clinic. Craft items will include: pictures, wreaths, jams, soaps, aprons, flowers and herbs. If anyone has more crafts or rummage to donate, please contact us! We also need volunteers to organize and volunteer for Sunday – Join us for the fun!

 Fundraising Projects
 Car Care Class/Girl Scout Merit Badge Class—The Car Care Class is too good to just let go by the wayside. We discussed at length about ways to promote this class. Advertise in NATA Auto Outlook that we do Car Care Classes. Have shops donate to AWA, we will conduct the class, shops will find the attendees. Another idea is to promote the class as a ‘New Driver’s’ Class. Contact schools w/driver’s education, driver’s training companies, insurance companies, etc. and let them know that we do a fabulous Car Care Class.

 Treasury Report
 Currently $510.02 in checking. $1500.00 was presented to Russ Jones at PCC on November 22nd for scholarships. A photo and short article will appear in the next NATA Auto Outlook due out this month.

 We need people to Co-Chair positions for when others are gone;

 Co-Treasurer
 Co-Membership
Positions committed to sharing of the responsibilities… Example was the ‘Car Care Class’. Everyone was willing to help, but no one wanted to be in-charge.
Beginning January 2010 New Positions have been established:

 Sarah Hiedler & Norma Holcombe will Co-Chair Membership and Weblink with June Boone, collect dues and send registration letters, collect information for website
 Terica will Co-Chair Secretary with Becky Vierck, distribute minutes of the meetings and establish agenda for each month’s meetings
 Betty Kendall will Co-Chair Treasurer with Margaret Ragan, write a letter to the 12 students at PCC and help with scholarship/endowment fund letters.
Project Coordinators:
Plant Sale May 1st at Hawthorne Auto Clinic, with an alternate day May 8th if weather is bad: Margaret Ragan, Liz Daly, June Boone, & Kathy Garbe. We will be making planters for businesses to buy and we will be available to go to businesses to plant in their existing planters.
Women in Trades Fair: Sarah Hiedler & Dawn Slama
Summer Concert: Margaret Ragan & Terica Deveroh-Spratt. Possible location in Vancouver at the Brick House.
Car Care Class/Girl Scout Merit Badge Class: Becky Vierck, Kim Kittinger, Robin Burwell & Any Dobson.
 Any Dobson would like to come talk to our group about her trip to Nicaragua.
 Mention of a mentoring program—more needs to be discussed.
 PCC Automotive Graduation would like someone from AWA to talk briefly at the ceremony. It was unanimously voted for Margaret Ragan to speak.

The Next Meeting is January 2nd, 2010 at June Boone’s House for a Holiday Potluck & White Elephant Gift Exchange at 5pm. All are welcome, including significant others & children, leave the dog at home.

Cars are expensive. Come learn how they work and how to take care of them to make them last. We’ll explain basic automotive systems using real vehicles, discuss routine maintenance, demonstrate how to change a tire, give tips on how to get the most out of a trip to the repair shop and much, much more. Instructors are automotive professionals. This is not a hands-on class.

Cost is $30. Proceeds go to the AWA Scholarship fund for students in the PCC Automotive program.
Pre-registration required
Classes will be limited to the first 30 who register.
