OCTOBER 2011 Meeting "minutes"

AWA MEETING MINUTES   OCTOBER 2011
 Welcome Members/Visitors:

* NATA newsletter- 
 Margaret wrote an article for the NATA news letter regarding the Oktoberfest event, and brought copies for suggestions. Minor alterations were made to improve the piece and Margaret will submit to NATA along with a couple of photos for publication.

* Financial Report (Margaret Regan)
There is $857.76 in the checking account.
$619 was made from the Oktoberfest event ticket sales and door prize sales.
$4257 was made from the sale of raffle tickets for the Snap On toolbox.
All monies except for what is in the checking account have been delivered to PCC, but there was $2497 that was still unassigned.  It was decided by consensus that that money should go to the endowment fund.
The restricted fund currently has over $7000.
Scholarships
There have been no scholarships awarded this year.  It is up to the program chair to award and nobody was sure exactly why no scholarships have been awarded.
Margaret and Betty will talk to Russ regarding this issue and report back to the group.
Second annual Oktoberfest AAR (After Action Review)
The sausage was better than last year (came from Edelweiss this year).   There were 40 lbs purchased.
There were too many beans – 2- 32 oz cans are too much.
Too much Kraut left over – two 32 oz cans and one jar is too much.   We should do just jars next year.
We need a go-to person for the event (somebody there to tell everybody what to do)
It would be nice to have a hostess or greater to help people coming in and make everybody feel welcome, even if they don’t know anybody.
We should have a line card or brochure about who we are and what we do.  (more information available about us)
We should make it ½ price for students.
We should reach out to past scholarship recipients.
We need a big ticket item for next year’s event (Carra volunteered to start on that now)
Marketing should be more structured 
* Organizational discussion:  Some of the issues brought up in the post action review led us to talk about needing more structure to our organization.

Margaret and Sarah both agreed that they had not been doing as much as they had in the past due to burn-out.

Sarah also brought up the issue of the organization’s narrowing focus.  So much time on the scholarship fund at PCC, we fail to fulfill the other aspects of our mission statement, and fail to reach other potential members that might not be interested in that narrow focus.  She asked everybody to consider the organization’s mission statement, and how we might, as a group, re-focus to fulfill broader needs. 
The group agreed that we should come up with a formal structure.  This will promote involvement and ease the burden on some of us if everybody knows what they need to do.
AWA should seriously consider forming an official non-profit.
Sarah will do the research and create bylaws with the help of all active members via email (she will not be at the next meeting).  She will also research what needs to happen to become a non-profit.
* COMING UP:
The next “meeting” will be our Holiday Party Potluck to be held at Margareta’s house on Dec 4th at 2pm. 19605 S Unger Rd  Beavercreek, OR 97004

The Jan 25th, and will be our “restructuring meeting” where we will emerge with a new, formal structure, and maybe non profit status.

Oktoberfest

Held October 1, 2011 the second AWA Oktoberfest was a Grand success!


Special thanks to Felix LaPlante and his family and crew at Sherwood Auto Repair for not only providing the space to hold the event but food, wine, as well as manning the grill, prepping the space and overall hard work.   

BridgePort Brewing once again graciously donated a pony keg that this year we managed to polish off.


Saw Tail Ridge donated their time and provided the music and fun for our event.


LKQ provided chairs and transportation for the tool box, bottled water as well as numerous door prizes.


With all efforts and the generous donation of the Snap On tool box from Kurt Garbe of Esquire Motors we made over $4000 for the scholarship fund.


Thanks again to everybody for making this a wonderful and fun event.

Our 2011 Tool Box Raffle winner is Kathleen of Corvallis, Oregon. 
She purchased the ticket at the British Meet and is a hobbyist working on restoring a TR3 ! !

July 2011 Meeting Notes

Wednesday 27 July 2011  notes:

Started the night with talks about the raffle and how it is progressing. June suggested that we make the Tool box mobile and bring it to the race track as needed to get more exposure.
Becky and Margo volunteered to transport and sit at a booth to sell tickets. All agreed that might boost sales. June is collaborating with the Beaches Cruise-in and PIR folks. Straps and blankets will be provided to limit damage to item.

At this point 548 tickets have been distributed and no accurate count for sold tickets available at the time of meeting.

It was agreed at the meeting (of 5 people) that there will be an August meeting. As there has not been much planning in the way of the Oktoberfest. Generally August is an off month. It was discussed that the group still needs to coordinate for Food, Band, Beer, Tickets, Utensils, raffle prizes and many other logistics behind the scenes.
The event, at least, has a locked in location...Sherwood Auto.

This one is coming up faster and there is still much to do.
That will also be the event where the tool box is presented to one lucky winner!!!!

And lastly...the scholarship was brought up, by Carra. She was at a Ford Club meeting a week ago and met the Assets Facilitator for Mt Hood CC, Jerry Lyons. He is involved with a Cruse-in 13 August in Gresham, OR. She discussed with him her involvement in AWA and said we have discussed in meetings expanding our scholarship funds to other schools. Right now we gift to PCC. She was always under the impression that the money was gifted to a FEMALE student. To promote more women in the auto tech industry. This
 provoked questions of eligibility and merit. There will be presumably be some guidelines drawn up for future scholarships.

Next meeting will be last Wednesday in August, The 31st? we should send out calendar reminders to all group members.

February Meeting Minutes

 Welcome Members/Visitors:

* EVENT PLANNING:

SNAP ON TOOL BOX Raffle. 
Ø  Tonia suggested that we up the cap on the number of tickets (once she saw the box) It was discussed and decided that the number of tickets should be limited to 2,000
Ø  Margaret submitted a web site for an on line design and printing, and Tonia provided pricing and details from a local printer.  We decided to do the on line purchase of printing, due to price.
Ø  Sarah will layout the design, submit for preview for several members and have tickets ready to go by March 19th, our next event: the Irish Potluck at the Garbe residence.
Ø  Shayla (not present at meeting) designed a flyer for the raffle.  It was passed around and discussed, and a few updates were added.
Ø  We will have updated flyer ready to go inside of a week, and email them to members who would like a copy, as well as having some printed for distribution.
Ø  Carra donated free transportation of the box for the winner.
Ø  Sarah volunteered to track, record and account for all tickets and stubs.
Ø  Betty volunteered to be the keeper and protector of all ticket stubs.

Ocktoberfest event  planning        
Ø  We will ask Sawtale Ridge to play again
Ø  John suggested (Via Betty) that perhaps better sound this year would improve the event, as well as more focused attention at times on the band.  

Women in Trades Fair
Ø  Event is Friday May 13t and Saturday May 14th, 2011 at the IBEW Hall
Ø  More volunteers are needed – especially for the Saturday portion of events. 
Ø  Drop an email to AWAPDX@gmail.com to sign up or ask specifics. 
Ø  We are looking for a donation of 100 tire pressure gauges to give to young women at this event.

  Irish Potluck
Ø  Basic reminder: Our next event is – March 19th @ 4pm - an Irish Potluck at the home of Kathy and Kurt Garbe. March 19 @ 4pm –  32779 NW Ridge Dr, Scappoose, OR 97056  503-543-8247
Ø  If you’d like to help dig up Iris in preparation for the plant sale, come at 2 pm

Plant  sale
Ø  We will again have a plant sale again on April 30th at 9 am at Hawthorne Auto Clinic.
Ø  Start saving/potting and dividing your plants now.
Ø  There was a discussion about our banner, which has not been seen for two years now, please check your stash of AWA paraphernalia to see if you have it.
It’s time for Dues (still)

Ø  Somebody had a great idea to create bills for membership.  To that end, if you’d like to receive a bill for membership so that you can more easily claim it as a professional expense, drop us an email, and we’ll be happy to do that.

January Meeting Minutes

 EVENT PLANNING

- SNAP ON TOOL BOX Raffle. 
  •  -The box that was graciously donated by Mr. Kurt Garbe will be raffled at our October fest Event
  • -It was decided that the raffle tickets will be $10 each or $50 for 6 and the number of tickets will be limited to 1,000 tickets.
  • -Sarah volunteered to layout the design for the raffle tickets, and volunteered Shayla (not present at meeting) to design the Flyer for raffle.
  • -Tonia and Margaret volunteered to investigate printing costs of the tickets.


- Ocktoberfest event  
  • Will be October first.
  • Sherwood Automotive will once again host the event and  
  • We will ask Sawtale Ridge to play again

Women in Trades Fair
  • Is Friday May 13t and Saturday May 14th, 2011 at the IBEW Hall
  • Sarah Heidler with the help of Tonia Hanley will present the workshop on Friday to the high school girls.
  • More volunteers are needed.


Irish Potluck
  • Our Holiday party was cancelled due to low attendance, so in its place we will have an Irish Potluck at the home of Kathy and Kurt Garbe.

  • Kathy and Margaret will make Corned beef – bring a something to share.
  • If you’d like to help dig up Iris in preparation for the plant sale, come at 2 pm

It’s time for Dues
  • Send your dues in to AWA C/O Hawthorne Auto Clinic 4307 Southeast Hawthorne Boulevard Portland, OR 97215-3162
  • Dues for January through December are $35 for regular members and $20 for students or anyone currently unemployed.  
  • Please make sure to include your: Name, employer, position, both home and business addresses and phone numbers.  Include the name of the school you are enrolled in if you’re a student.

Treasure’s report

  • We sent $175 to PCC restricted fund and a $1000 check. 
  • We have given 1800 for the 11-12 school year
  • Our current checkbook balance is 307.15
